1 GRADER.HLP Version 1.09 14 February 1988 GRADER is a program for keeping class grades. GRADER sets up a file of scores for a class, and can append new records, modify old ones, alphabetize them, and grade them (compute averages). This program was written by John Burkardt 4601 Bayard St Pittsburgh, Pennsylvania 2 Changes Version 1.06: Roster and Anonymous listing now can be written to file. A bug, which made it impossible to begin the program with a new grade file, was corrected. Version 1.07: Apple Macintosh version now has Imagewriter file in System disk, so that files can be printed. Add names command will no longer ask if tests are being added if no tests were entered for the names already in the file. The T command did not seem to abort on control-Z input, on the Macintosh. So for certain commands, if the length of the input was zero, this also aborts the command. Apparently, on the Macintosh, control-Z does not trigger end-of-file, but also is not read into the target character variable. So this seems to have been fixed. Although the roster command offered to print up to 35 boxes after the student name, it could actually only print about 17, and the boxes were small. The boxes have been increased in size. Ten boxes are printed on a line, and the user may request as many rows of boxes per student as desired. Once the term average has been computed, it may now be accessed by the anonymous listing and print commands. GRADER can now drop the lowest student grade from consideration in the computation of the student term average. Version 1.08: The output from the grade command (G) can now be written to a file, in the same way as the roster (R) and anonymous roster (A) commands. Only the first part of the output, the grades and averages, is stored in the file. The sort command (S) can now sort by term averages if these have been computed. Version 1.09: A coding error in the 'D' command was corrected. Previously, if the user simply hit RETURN for the name of the output file, the default file name was not correctly set up. The 'G' command now labels the average column 'Average'. 2 Use of GRADER GRADER is intended to be useful for an instructor who keeps a 'running' grade sheet for a class. Several tests are given, with grades being entered after each test. Grades may be modified, and students may drop out. At any time, the class and individual averages may need to be produced. For large classes, there may be a subdivision into sections. On the first use of GRADER for a particular class, GRADER will construct the file from scratch. You may choose to enter only the class title and the names of the students, or you may also include whatever grade information you already have. When starting up a grade file, you also must specify whether Social Security Numbers (SSN) or any alphanumeric student identifying code, are to be recorded for each student. Further, you give this file a name. Thereafter, any time that you wish to modify the file, you must run GRADER, and specify the file name you gave earlier. GRADER will then offer you a menu of actions, including modification of names or results entered earlier, output of all information, or of a class roster or of the current grades and averages, or the entry of new information for a particular test. GRADER tries to be very careful with what it assumes is sensitive information. Before it works on a file, it sets aside a backup copy. Before each operation, it makes a temporary backup copy. Therefore, if you accidentally delete a student from the file, you can recover that information if you immediately stop the program, type out the temporary file (GRADER.OLD) to make sure it's right, delete the damaged file and rename GRADER.OLD to the old file name. In some cases, the damage was done several steps ago during the current run. In that case, you can go back to the backup copy (GRADER.SAV) made before the file was touched. You have then lost only the work you did during the current session. GRADER can handle several files during one run. Extensive help from GRADER.HLP 3 Anonymous test result listing (A) This option creates a listing of the results of one of the tests or the grade average (if computed by the G command), and the corresponding SSN of the student. This listing is suitable for posting when the student's names should not be made public. You will be asked if you wish to store this output in a file, which could then be printed out separately later. WARNINGS: This option will not work if you have not stored SSN's. If you create an output file containing the listing, it will overwrite any previous file of the same name. 3 Create a file (C) To create a file, the program assumes you will type in a list of names. If you want these names to be alphabetized, you should probably type last name first, then a comma, then first name or initial. When the list is done, simply type a blank or a return to finish the list. WARNING: Creating a file with a given name will wipe out any previous file of the same name. 3 Open/close disk transcript file (D) This command allows you to keep a transcript of your interactive session with GRADER. You are given the option of naming this file. When this option is chosen, and until it is disabled, everything that appears on the screen will also be stored in a disk file which you can print out later. This is good for reporting problems with the program, or with having a backup check on what you did. WARNING: If a file already exists of the name you specify, the old copy will be destroyed. 3 Switch to another file (F) If there are several grade files to be worked on, the program can switch from one to another, once the name of the new file is given. If the new file does not exist, you must follow this command by the 'C' command to have GRADER set up the new file. 3 Grade file (G) This is the heart of the program. The program asks whether all the tests are equally weighted, and if not, for weights to be used if some exam counts more than another. The program asks if, for each student, the lowest grade is to be dropped from consideration. The program also offers to store the output of grades and averages in a file. Then, for each student, an average is computed. The median, average, and standard deviation for the entire class are computed for each exam. The program then offers to display a list of the students in order of their averages, and a histogram of the student averages. A course grade work sheet is also optionally prepared. 3 Help menu (H) While running the program, you can get a quick summary of the available commands by typing H. Note that some commands may not be listed if the program believes they are not legal at the time. For example, if your grade file has just been created, and so contains no test information, you will not see the option of grading the file. Use the '?' command for more extensive help. 3 Modify or delete records (M) If a student's name or score must be changed, this is the option to use. In order to search through the file, you must specify a 'key' such as 'SMITH' or some portion of the name of the student whose record you want to modify. Every record containing this key will be displayed, and you have the option of modifying any part of it or deleting it. 3 Add names (N) If new names are to be added to the file, the program will ask for the name, section (if more than one), SSN (if these are being stored) and any grade information available. 3 Print out the file (P) The current file can be typed out at your terminal by issuing this command. Note that the file is in ASCII format, and hence you can print out copies on a line printer, or use a text editor. If no test scores have been entered, the student SSN's will be printed. If the grade average has been computed by the G command, these will be printed as well. This command DOES NOT cause the information to appear on your printer. 3 Quit (Q) If you have done all you want to, stop. If you have botched the job, and accidentally ruined your file, stop and type out the file 'GRADER.BAK' which should contain your grade file as it stood before you began to work on it. 3 Make a class roster (R) The program can print out a worksheet listing each student followed by a series of boxes in which quiz records, attendance, homework, or other records can be marked. The program asks how many rows of boxes should be listed, whether the class should be listed as a unit, or by sections, or if only a single section should be handled, and finally, whether the roster information should be written into a file which might then later be printed out separately. WARNING: If a file already exists of the name you specify, the old copy will be destroyed. 3 Sort file (S) The program can sort the student records by name, test score, or by term averages if these have been computed by the G command. It is assumed that student names were entered last name first. You have the option of sorting the whole class, or, if there is more than one section, sorting each section. 3 Insert scores for a single test. (T) Upon choosing this option, the program guesses that you are entering scores for the 'next' test. If you override this guess, you can specify any already existing test, and overwrite the old results by the new ones, destroying the old information. The program will print the name of each student, and request the student's score. Giving a value of -1 (or any negative value) will cause the student's score to be ignored at grading time. 3 Turn 22 line paging on or off. (Z) GRADER assumes that you are working on a video display terminal, and that every line of output is of interest to you. Therefore, it never prints more than 22 lines at a time with no input from you. If 22 lines have been printed since your last input, the program prints out the message "Type RETURN for more" and pauses. When you hit the RETURN key the output resumes. Now there are indeed some cases where you don't care to examine the entire output line by line, and would be happy to see it scroll past you as fast as possible. This might be particularly true if you are saving a copy of all output in a disk transcript file. So in such a case you might like to turn paging off. To switch paging off, or to turn it back on, just type 'Z'. 3 Extensive help from GRADER.HLP (?) If you want more extensive information on GRADER, typing this command allows you to browse through the GRADER.HLP file without stopping the GRADER program. 2 Input errors As stated before, GRADER is a cautious program. One of the checks it makes is on the input you type to it, including commands, names of files, numbers, names, and so on. GRADER watches out for inappropriate input, and if it does not find your input acceptable, it will either request that you reenter the input, or it will return to the main program menu after warning you that the command it was carrying out could not be completed. Input errors include such things as typing a letter when a number is expected, or vice versa, or typing meaningless input including control-characters, punctuation and so on. Also, an end-of-file condition will trigger an error. Normally end-of-file only occurs when reading from a file, rather than from the terminal. However, you can simulate an end-of-file by typing CONTROL-Z (Holding down the CONTROL or CTRL key and typing a Z. You may also have to type RETURN after that). Why should I tell you how to cause an error like this? Because it is a fairly reliable way of getting the program's attention. If you've accidentally entered a command which requires you to type in 200 test scores, rather than trying to do so you might type CONTROL-Z and try to force the program to 'bail out', and return to the main program. As mentioned before, this will often work, but sometimes the program will try to be helpful and give you another (and another) chance, so don't assume that this method will always work. 2 Format of the grade file Normally, the grade file should be created by GRADER. To have GRADER create a grade file for you, you simply give it the desired name of the file to be created when GRADER asks for the grade file you will be using. GRADER will notice that this file does not exist, and will prepare to set it up for you. Thereafter, when you run GRADER and give it the same file name, it will realize that it's a valid grade file, will open it, and let you know that it successfully read the information inside. However, you can create a grade file with an editor, if you are careful and follow the format carefully. The first record contains the student's section number and name. If the fourth special record was a "1" then the second student record contains the student SSN or ID. Otherwise this record will contain a dummy SSN of 000-00-0000. This is done so that if you later decide to enter the SSN's of your students, it will be easy to do so. The next record contains the student's test scores, separated by commas or spaces. This record may extend over several lines if necessary. Then the pattern repeats until all students have been listed. One more modification applies if there are more than 5 tests. In such a case, at most 5 grades or score maximums appear on a line, and extra lines will be required to complete the record. Names should be given with last name first if alphabetizing is to be done.
